Reviewing Open Schedules & Notifying Caregivers
To offer schedules go to the office view and under Utilities > Broadcast Message, select the Open Schedule button.
This will pull the Open Schedule Report where you can select your Date Span, it will default to the next 2 weeks. Select Display to show the Open Schedules in that range.
To notify caregivers of the visit(s), select the visit(s) that will be offered and choose the Notify Caregivers button at the top. You can either Email or Broadcast Message the caregivers about the visit(s).
Then you will be directed a new window for the Search Caregiver Availability function to filter and find the caregivers that best meet your client's and schedule's needs. Once you enter your search parameters, select Search Available Caregivers and there will be a list of caregivers that meet the criteria.
Select the following caregivers you are notifying about the available shift and then choose the Send Message at the top.
You will receive a confirmation that the Broadcast message or Email message was sent successfully and be re-direct to the Open Schedule Report.
Caregivers Reviewing Open Schedules on the Mobile App
Caregivers will open the KanTime-Private Duty mobile app and go to the Open Schedules option.
They will see the open visits they were notified of and can toggle whether they are Interested in taking them. Caregivers can also click the calendar icon to see the visit in relation to what is already on their schedule for the month.
The back office will see the update when the caregiver marks that they are Interested in a visit.
Assigning the Open Schedule to Interested Caregivers
From the Open Schedule Report you can select the number of Notified or Interested Caregivers, which will open a dialogue box to review who was alerted of the open visit and the option to the assign the visit to an interested caregiver.
You will be asked to confirm if you want to assign the Interested Caregiver to the visit.
Once assigned you will receive a message the caregiver is assigned and the visit will be removed from the Open Schedule Report.
