The option to select a Billing Contact will be available for a client's service if the Funder Methodology is set to Single payor and the both the client and their contact(s) have a phone number entered. The client's phone number can be entered on their profile under Client Info tab > Demographics > Phone (Main) and their contact's phone number can be added under Client Info tab > Contacts > Phone (Work/Office).
In the example below we are able to assign either Barry (client) as the Billing Contact or his primary care physician Dr. John Smith (client contact) as a Billing Contact for this service.
Once a visit for that client service has been approved and invoiced, the Billing Contact field will be grayed out.
If you notice the discrepancy with the Billing Contact early on, you can void the invoice(s) that have been generated against this client service and the option to choose another Billing Contact will appear on the client service. Once this is corrected you will need to go back to each Billing Period and generate the new invoice to reflect the updated Billing Contact.
Otherwise, if there is a long record of invoices and visits requiring updates you will need to discharge the service and create a new one with the correct contact. To discharge the previous service with the old Billing Contact, select the client service link, and on the next page choose the Status bar to update the information.
Then proceed with creating a new client service and choosing the updated Billing Contact. You will need to create and update the schedule/recurrences with the updated client service as well.
