Care+ Reports Guide (Part 2)
WHAT:
This report illustrates the number of overtime hours and amount by caregiver.
WHY?
To keep track of the total amount of overtime per payroll cycle.
Frequency:
After each payroll cycle.
WHAT:
This report provides visibility into your outstanding receivables by client and time frame (30, 60, 90, 91+), and any unadjusted credits.
WHY?
This report allows you to follow up on past due invoices. It also helps you to identify “problem” payers.
Frequency:
Weekly.
WHAT:
This report allows you to see revenue by each zip code in your territory.
WHY?
This report will allow you to identify towns to adjust marketing spend and measure the success of advertising in each town.
Frequency:
As needed, quarterly at a minimum.
WHAT:
This report illustrates the amount of revenue by referral source for a given timeframe.
WHY?
To identify your top referral sources and to identify sources that are not providing referrals.
Frequency:
As needed.
WHAT:
This report shows caregiver anniversaries for the selected month.
WHY?
It is important to recognize a caregiver’s anniversary. A card, call or text goes a long way to building loyalty with caregivers. Consider providing gifts of appreciation for milestone anniversaries.
Frequency:
Monthly.
WHAT:
This report shows caregiver birthdays for the selected month.
WHY?
It is important to recognize caregivers’ birthdays. A card, call or text goes a long way to building loyalty with caregivers.
Frequency:
Monthly.
WHAT:
This report allows you to quickly identify the number of caregivers hired or terminated for a specific timeframe.
WHY?
To keep track of new hires and terminated employees.
Frequency:
As needed.
WHAT:
This report provides a listing of caregivers and the total number of minutes late by client for each shift.
WHY?
To hold caregivers accountable to ensure they are arriving to clients and/or remembering to clock in on time.
Frequency:
As needed, and especially during caregiver reviews.
WHAT:
This report provides a listing of caregivers and the total number of hours scheduled for the desired timeframe.
WHY?
This report can be used to identify which caregivers are in overtime, so you can adjust accordingly, and to identify caregivers that may have capacity to work additional hours.
Frequency:
As needed.
WHAT:
This report provides the type, number of doses, and date of each COVID vaccination shot.
WHY?
To ensure all caregivers have received the required number of shots/boosters.
Frequency:
As needed.
WHAT:
This report illustrates the number of new and discharged clients for a desired timeframe.
WHY?
To keep track of the number of new and discharged clients.
Frequency:
Monthly and as needed.
Journal Entry Report
WHAT:
This report allows you to export client and caregiver notes by specific note types.
WHY?
This report will come in handy to identify the number complaints, complaints, incidents, nursing visits, etc.
Frequency:
As needed.
WHAT:
This report allows you to see the reason behind canceled shifts. Did the client cancel? Did the caregiver cancel and the client didn’t want a replacement? Did the caregiver cancel and you couldn’t find a replacement? Was the shift canceled due to bad weather?
WHY?
This report provides visibility into why shifts were canceled and helps you to understand what is and what is not within your control. For example, if you have a lot of unfillable shifts, meaning the client wanted coverage but you couldn’t provide a caregiver, would be a big indicator that you need to increase your recruiting efforts.
Frequency:
As necessary, especially if you notice a decline in the total number of shifts.
WHAT:
This report illustrates how many caregivers have been to each client with their total number of visits.
WHY?
To determine continuity of care for each client.
Frequency:
As needed.
